The second episode of introduction for new features of version 10.3, is about “Service Task (PDF generation)”.
“Service Task (PDF generation)”, a function to automatically generate PDF document by embedding Business data on Template PDF file which has been prepared in advance, is one of the features that many Users of our product are taking advantage of it.
(Also in Questetra, Inc., we create “Estimates” and “Invoices” using this feature.)
I would like to introduce the following three enhancement on this feature in Version 10.3.
- Added an option of “Delete other files when saving” to the setting of “File type data item to save the PDF file”
- Enabled to embed image files (File type data item) on PDF document
- Enabled to embed the management information of Workflow platform, such as “Process ID” and “Process Start date and time”, on the PDF document
1. Delete the files “other than” the newly generated PDF document
Until now, auto-generated PDF document in “Service Task (PDF generation)”, could only be “added” to the specified file type data item. E.g. When you iterated “PDF generation=>Review=>Correction & Regenerate” on Issuance Process of Estimates and Invoices, the PDF documents that are no longer necessary also remained as attachment.
(And in depending on how to name the PDF document, files of the same name would have left…)
In the version 10.3, you can delete PDF files (of the past and unnecessary), by enabling the option of “Delete other files when saving”. After the “Service Task (PDF generation)” has been processed, it will be in the state that only the newly generated PDF document is attached! (Goodbye to the unnecessary files!)
Other than the case of repeating the generation of a PDF form, you can also use it for such as “Delete the ‘files that contains personal information’, and to issue a deletion certificate”, as written in the following Workflow Sample article. For your information.

…the image file as a personal identification document also, will be automatically deleted after the check work in the Accounting Department.
2. Embedding of Image Files
As well as String type or Numeric type data, “Image files” which have been attached to the file type data item, can be embedded on a PDF document. Image files that can be embedded is a “GIF / JPEG / PNG” format, and the file size must be “100KB or less”.
3. Embedding of the management information of Workflow platform
In addition to the Process data items such as String type, it is now available to embed the management information of the workflow platform, such as”process ID” and “Process Start date and time”, on the PDF document. Since version 10.3, you are able to directly embed these information to PDF file, instead of saving it as a Process data item once beforehand.
